Privacy Policy

Dispatch ("the Service") is a social media management platform provided by Zetanic Limited ("Zetanic", "we", "us", "our"). The Service plans, creates, schedules and publishes social media content for business customers. This policy explains what personal data we collect, how and why we use it, who we share it with, and your rights.

We are the data controller for the account, billing and usage data described below. Where we process personal data contained in your content or audience on your behalf, we act as your processor under our Terms of Service (Annex A). Questions: privacy@zetanic.com.

1. Data we collect

• Account & contact data — your name, work email, business name, a hashed password, and the fact and timestamp that you accepted our Terms.
• Brand & content data — your brand profile, knowledge base, any images you upload, and the posts generated and approved within the Service.
• Connected social accounts — when you connect LinkedIn, Facebook or Instagram, the access token (stored encrypted) and the connected account's ID and display name.
• Billing data — your plan and subscription status. Card payments are handled by Stripe; we never see or store your full card details.
• Technical & usage data — IP address, sign-in times, browser/device information and server logs, used to operate and secure the Service.

2. How and why we use it

• To provide, operate and maintain the Service — performance of our contract with you.
• To generate, schedule and publish content to your connected accounts at your direction — contract.
• To take payment and manage your subscription — contract.
• To provide support, keep the Service secure, prevent abuse and improve it — our legitimate interests.
• To send service messages (reports, security and account notices) — contract / legitimate interests. Marketing emails are sent only where you have opted in, and you can unsubscribe at any time.

3. Who we share it with

We use trusted third parties ("processors") to run the Service, and they process data only on our instructions. We do not sell your personal data. Our key processors are:

• Anthropic — AI generation of content drafts
• Meta Platforms and LinkedIn — publishing to your connected accounts, at your direction (governed by LinkedIn's and Meta's own policies)
• Stripe — payment processing (handles your card data directly)
• Pexels — stock image search
• Brevo — transactional and notification email
• SiteGround — hosting

We may also disclose data where required by law or to protect our legal rights.

4. International transfers

Some of our processors are located outside the UK/EEA (for example, in the United States). Where personal data is transferred internationally, we rely on appropriate safeguards such as UK/EU Standard Contractual Clauses or an adequacy decision.

5. Cookies

Dispatch uses a single strictly-necessary cookie to keep you signed in. We do not use analytics, advertising or tracking cookies, so no cookie-consent banner is required. The sign-in cookie is essential to the Service; if you block it you will not be able to log in.

6. How long we keep it

We keep your account and content data for as long as your account is active, and for a reasonable period afterwards (normally up to 12 months) so you can reactivate, unless we are required to keep it longer to meet a legal obligation (for example, billing records for up to 6 years for tax). Connected-account tokens are deleted when you disconnect the account or close your account.

7. Your rights

Under UK data protection law you have the right to access, correct, delete, restrict or object to our processing of your personal data, to data portability, and to withdraw consent where we rely on it. To exercise any of these, email privacy@zetanic.com. You also have the right to complain to the Information Commissioner's Office (ico.org.uk).

8. Social-account data & deletion

You can disconnect a social account at any time within the Service, which revokes and deletes the stored token. To request deletion of data we hold from a connected Meta account, use our data deletion route or email privacy@zetanic.com.

9. Security

We protect your data with encryption in transit (HTTPS), encryption at rest for connected-account tokens, access controls and authenticated sign-in. No system is perfectly secure, but we take reasonable steps to protect your information and we keep our security under review.

10. Children

Dispatch is a business tool and is not intended for anyone under 18. We do not knowingly collect data from children.

11. Changes to this policy

We may update this policy from time to time. We will post the updated version here and change the date above; we will notify you of significant changes.
